As an Administrative Assistant, you will :
- Work under the guidance and direction of the Department Coordinator;
- Draft and submit requests for clarifications to contracting authorities regarding selection and eligibility criteria;
- Prepare and submit responses to clarification requests received from contracting authorities, for areas within the candidate's scope of work;
- Compile, organize, and verify all required documentation in line with formal submission requirements, ensuring accuracy and completeness within tight deadlines;
- Support the preparation of prequalification and tender submissions in collaboration with partner organizations, including tracking incoming documentation and following up on outstanding items;
- Conduct thorough reviews to ensure consistency, compliance, and quality across all submission documents, including legal and financial components;
- Apply final formatting to all documents in accordance with client specifications and prepare files for printing and submission;
- Ensure timely and secure dispatch of tender packages and track delivery to the intended recipients;
- Monitor and follow up on client communications and decisions, including correspondence with European Union institutions such as the European Commission, as required;
- Updating and maintaining internal databases and tracking systems related to technical projects;
- Ensuring the integrity and accuracy of data inputs while managing frequent updates across multiple projects;
A BACKGROUND THAT CONVINCES US
- Bachelor’s degree;
- Excellent command of English; knowledge of French is an advantage;
- Excellent verbal and written communication skills;
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and ability to work efficiently with PDF tools for editing, formatting, and combining documents;
- Strong attention to detail and commitment to high-quality standards;
- Ability to manage multiple tasks and priorities simultaneously in a fast-paced, deadline-driven environment;
- Proven ability to work effectively under pressure and handle time-sensitive assignments;
- Analytical skills, including the ability to assess the validity and accuracy of legal and financial documents;
- Highly organized and proactive approach to work and solve issues;
- Team player, comfortable in a multicultural and multilingual working environment;
- Familiarity with the Practical Guide on Contract Procedures for European Union External Action (PRAG) and project cycle management in European Union-funded projects is considered an asset.
